Trucking Bookkeeping 101: What Every Owner-Operator Needs to Track

Most owner-operators know they need to keep records for tax time. But good bookkeeping isn't just about the IRS — it's about knowing whether your business is actually making money after all the miles, fuel, and repairs. Here's what you need to track every month.

Revenue: Know Every Dollar Coming In

This sounds obvious, but many owner-operators don't separate gross revenue from what they actually take home after broker fees and fuel surcharges. Track your gross revenue, your net revenue after fees, and your revenue per mile. That last number tells you everything about the health of your lanes.

Fuel Costs

Fuel is typically 25-35% of a trucking operation's total expenses. Track every fuel purchase with the date, location, gallons, and cost. You'll need this for IFTA filings, and it helps you identify if certain routes are burning more fuel than they're worth.

Maintenance & Repairs

Keep receipts for every repair, tire purchase, oil change, and inspection. These are deductible, and they tell you your true cost of keeping your equipment on the road. If repairs are eating more than 10-15 cents per mile, it may be time to evaluate your equipment.

Deadhead Miles vs. Loaded Miles

Track both. Your loaded mile rate looks great until you factor in the deadhead miles you drove to get there. Your real profitability is based on your total miles driven, not just the paying ones.

Per Diem & Travel Expenses

The IRS allows truckers to deduct per diem expenses for overnight trips. In 2024, the standard rate is $69 per day for domestic travel. If you're not tracking your overnight stays and claiming this deduction, you're overpaying on taxes.

DOT Compliance Checklist for Small Fleet Owners: What You Can't Afford to Miss

A DOT audit or roadside violation isn't just a fine — it can impact your CSA score, raise your insurance rates, and in serious cases, put your authority at risk. For small fleet owners, compliance isn't optional. Here's a checklist of what you need to have in order.

Driver Qualification Files

Every driver on your payroll needs a complete DQ file. This includes a valid CDL, medical examiner's certificate, MVR (Motor Vehicle Record), employment application, road test certificate, and annual review. These must be kept current and accessible for audit.

Drug & Alcohol Testing Program

If you have drivers, you are required to have a DOT-compliant drug and alcohol testing program through a C/TPA (Consortium/Third-Party Administrator). This includes pre-employment testing, random testing, post-accident testing, and return-to-duty testing when applicable.

Vehicle Inspection & Maintenance Records

You must keep records of all pre-trip and post-trip inspections, as well as maintenance and repair records for each vehicle. DVIR (Driver Vehicle Inspection Reports) must be kept on file for 90 days, and maintenance records for one year.

Hours of Service (HOS) Records

If your drivers are required to use ELDs (Electronic Logging Devices), make sure your devices are FMCSA-registered and that your drivers know how to use them properly. HOS violations are among the most common CSA points.

Annual UCR Registration

The Unified Carrier Registration must be renewed annually. It's easy to miss the deadline, but operating without a current UCR is a violation. Set a calendar reminder — registration opens in October for the following year.

IFTA Filing Made Simple: A Step-by-Step Guide for Owner-Operators

IFTA — the International Fuel Tax Agreement — is one of the most misunderstood filing requirements for owner-operators. Many truckers dread it, but once you understand what it is and what records you need to keep, quarterly IFTA filing becomes routine.

What Is IFTA?

IFTA is a tax sharing agreement between US states and Canadian provinces. Instead of buying fuel permits in every state you operate in, you file one quarterly report with your base state, and IFTA distributes the fuel taxes to the appropriate jurisdictions based on where you drove.

Who Needs to File?

You must file IFTA if you operate a qualified motor vehicle — a vehicle with a GVW over 26,000 lbs, or with three or more axles — that travels in more than one IFTA jurisdiction.

What Records Do You Need to Keep?

  • Total miles driven in each state/province (from your ELD or paper logs)
  • Fuel purchase receipts showing date, location, gallons, and cost
  • Starting and ending odometer readings for each trip

When Are IFTA Returns Due?

IFTA returns are due quarterly: April 30 (Q1), July 31 (Q2), October 31 (Q3), and January 31 (Q4). Missing a deadline results in penalties and interest.

How Is Your Tax Calculated?

The calculation compares how much fuel tax you paid at the pump in each state versus how much fuel you actually consumed in each state (based on your miles driven and your average MPG). If you bought more fuel than you consumed in a high-tax state, you may get a refund. If you drove through high-tax states but fueled elsewhere, you'll owe.

How to Negotiate Better Freight Rates as an Owner-Operator

Freight rate negotiation is a skill — and most new owner-operators never learn it because nobody teaches it. Brokers deal with dozens of carriers every day. They know who negotiates and who takes the first number. Here's how to make sure you're not the one leaving money on the table.

Know Your Cost Per Mile Before You Call

You can't negotiate effectively if you don't know your break-even number. Add up your fixed costs (truck payment, insurance, permits) and variable costs (fuel, maintenance, tires) and divide by your monthly miles. That's your minimum. Never haul below it.

Research the Lane Before You Counter

Use tools like DAT, Truckstop, or the load board's market rate features to see what comparable loads on the same lane are paying. If the broker posts $2.20/mile and the lane average is $2.65, you know there's room to negotiate.

Counter with Confidence, Not Desperation

Brokers can sense when a carrier needs the load. Don't be afraid to walk away from a low offer. A simple counter like "I can do that lane for $2.50/mile — can you work with that?" is professional and often gets results. If they can't meet your rate, thank them and move on.

Build Direct Relationships When You Can

Shippers who book directly — without a broker in the middle — pay significantly better rates. If you're consistently hauling for the same shipper through a broker, try to build a direct relationship over time. Even one or two direct accounts can transform your revenue.

Starting Your Own Trucking Business: The Complete Authority Setup Guide

Getting your own authority is one of the most important milestones in a trucking career — it's what separates an employee from a business owner. But the paperwork can feel overwhelming if you don't know where to start. Here's the full setup process in the right order.

Step 1: Form Your Business Entity

Before anything else, decide your business structure — most owner-operators go with an LLC or sole proprietorship. An LLC offers liability protection and some tax advantages. Register your business with your state and get an EIN (Employer Identification Number) from the IRS. This is free and takes about 10 minutes online.

Step 2: Apply for Your USDOT Number

Register with the FMCSA at safer.fmcsa.dot.gov to get your USDOT number. This is required for all commercial motor vehicles over 10,000 lbs involved in interstate commerce.

Step 3: Apply for Motor Carrier Authority (MC Number)

If you'll be hauling goods for hire across state lines, you need an MC number (operating authority). Apply through the FMCSA's Unified Registration System. There is a $300 filing fee, and your authority will be granted after a 21-day protest period.

Step 4: File Your BOC-3

You must designate a process agent in every state you'll operate in. Most carriers use a blanket BOC-3 service, which covers all 48 contiguous states for a small fee. This must be on file before your authority activates.

Step 5: Get Your UCR Registration

Unified Carrier Registration must be completed annually and is based on the size of your fleet. For a single truck, the fee is minimal — but operating without it is a violation.

Step 6: Get Insurance

You must have at minimum $750,000 in primary liability insurance (most loads require $1M). Your insurance provider files proof of coverage directly with the FMCSA. Your authority won't activate until this is on file.

Step 7: Set Up Your IFTA Account

Register for IFTA with your base state before you start operating in multiple states. You'll receive IFTA decals to display on your truck and a license to keep in the cab.
